This article will take you through how to activate data within projects and workflows, enabling seamless automation, decision-making, and real-time insights. Choosing the Activate data step will allow you to query the datasets that have already been setup. If you haven't set those up yet, we'd recommend starting there and checking out this section for more information.
Choose the Activate data step while building out your Workflow.
Name the Step:
You can assign a custom name to this step, or leave it as the default name, in this case we've used "Activate Data.".
Select a Data Set:
Once you've named your step, click on the field that asks you to add your data set.
Choose one of the datasets you've set up for the project.
Configure Search Criteria:
After selecting your data set, the platform will prompt you to select a search field to query the data under the Activation criteria.
Add Additional Search Criteria (Optional):
If you wish to refine your search, you can click on the Activation Criteria button to include more filters. To remove any criteria, simply click on the Remove button to the right of your Activation method.
Preview your Project/Workflow
Preview the Form:
Once you’ve set up your search criteria, click the Preview button. This will give you a live preview of the form that will be used in your workflow, allowing you to see how it will appear to users.
Adjust Search Results:
You can click on Search Results to see a preview of how the search will return data. If needed, click on Add Fields to modify what data will appear in the results, ensuring you pull the correct record for selection.
Finalizing and Saving Your Step
Once your search criteria is configured, click Close on the top right to finalize the step.
If you wish to make changes to this step later, there are three options:
- Rename the Step: Click on the ellipsis icon and select Rename to change the step name.
- Edit: Jump back into making changes.
- Delete the Step: If you need to remove this step entirely, select Delete from the same options menu.
Add a New Data Set(Optional):
If you decide to link a different data set to this step, you can do so by clicking on the step and selecting the new data set through editing.
Note: At this time, you can only link one data set per activation step, so you would need to delete or edit the current data set in that step before being able to add a different one.
