Integrating your Microsoft Power BI data with Streamline enables you to build dynamic workflows powered by your analytics environment. This guide walks you through connecting a Power BI data source and creating datasets you can use across your projects.

Prerequisites
Before you begin, ensure the following:
- You have access to your organization's Power BI account and relevant workspaces.
- You have permissions to access and read Power BI datasets or reports.
- Admin approval is granted if your organization uses security restrictions on external integrations.
If you're unsure, check with your Power BI or IT administrator.
Part 1: Connect to a Power BI Data Source
Step 1: Go to the Integrations Page
From your dashboard, navigate to the Integrations tab on the left.
Click + New Connection at the top or centre of the page.
Step 2: Select Microsoft Power BI as Your Integration Type
In the pop-up window, choose Microsoft Power BI from the list of supported platforms.
Tip: Choose a name that helps team members quickly identify the data source’s purpose or workspace.
Step 3: Give your connection a recognizable name & description (e.g., Sales Reports Power BI, Marketing Dashboard).

Step 4: Authenticate with Power BI
You'll be prompted to enter in your account information, including: Client ID, Secret, Username, Password & Tenant ID.
Security Tip: Use organizational accounts and follow your company’s credential management best practices.
Step 5: Select Your Database & Schema
Once authenticated, you'll be asked to:
- Select a Database
- Choose a specific Schema available in that Database
Step 6: Finalize the Connection
Click Connect to complete the integration. Your Power BI connection will now appear in the Integrations list.
Step 7: Explore Your Power BI Data
Once connected:
- Visit the Data Catalog to explore available datasets and fields.
- Use filters or search to find specific data elements.
- The Entity View shows dataset tables; the Data Field View shows columns with metadata like field type.
Part 2: Create and Manage a Dataset from Power BI
Once your Power BI connection is active, you can start organizing your data into reusable datasets for workflows.
Step 1: Access the Datasets Section
Navigate to Datasets from the left-hand panel.
Click + Create New Dataset.
Step 2: Define Dataset Basics
- Give your dataset a clear name.
- Select your Power BI data source.
- Choose a Primary Entity (table) from your dataset.
- Assign a label to make internal data more user-friendly.
Example: Use “Revenue Summary” instead oftbl_rev_summary
.
Step 3: Configure Field Access
- Review each field (column) and configure access settings if needed.
- When ready, click Create to save the dataset.
Optional: Create a Dataset Directly from the Data Catalog
- In the Data Catalog, select an entity (table) and click New Dataset from Entity.
- Customize the dataset by choosing fields or updating classifications.
Optional: Add Related Entities
Want to enrich your dataset?
- Click Add Related Entity while creating your dataset.
- Related Power BI tables can be linked based on relationships defined in Power BI.
- Add as many related entities as needed before finalizing.
Optional: Edit an Existing Dataset
To make changes:
- Go to Datasets, locate the dataset, and click Edit.
- You can:
- Add/remove related entities
- Change labels or field types
- Update data access settings
- Click Next & Update to save changes.
Troubleshooting Tips
If you encounter issues, try the following:
- Login errors: Make sure you're using the correct Microsoft account with access to the workspace.
- No datasets listed: Confirm you have access to datasets in the selected workspace.
- Permissions denied: Check with your admin to approve third-party access for Power BI.
- Data not loading: Ensure your dataset is published and not in a personal workspace.
Performance Tips
- Use filters in Power BI to reduce dataset size before importing into Streamline.
- Only include necessary fields to optimize workflow speed.
- Regularly audit datasets for relevance and usage.
