Sign Progress Notifications give you visibility into where each recipient stands on a Sign or collaboration step, without waiting for a reply or sending a follow-up. You choose who gets notified, and Intellistack Streamline automatically sends default status-change messages as an assignment is opened, reassigned, and completed. This helps operators and builders know when to nudge, so agreements don't stall silently.

Key Capabilities
- Flexible recipient lists. Add notification recipients using static email addresses, dynamic data fields, or a combination of both.
- Automatic default messaging. Recipients receive clear, default status-change notifications with no custom email copy required.
- Progress visibility across the assignment lifecycle. Notifications are sent as assignments are opened, reassigned, and completed.
- Accurate workspace statuses. Workspace statuses update to reflect each recipient's actual progress, so operators see where an agreement stands at a glance.
Configurable Notifications
You can configure progress notifications on both collaboration steps and Sign steps. Each step type notifies recipients at its own key moments.
Collaboration steps
- Collaboration request opened — a recipient opens the collaboration request.
- Collaboration request reassigned — the request is reassigned to a different recipient.
- New document version submitted — sent when each party submits a new document version.
Sign steps
- Sign request viewed — a recipient views the signature request.
- Sign request reassigned — the request is reassigned to a different recipient.
- Sign request completed — sent when each party completes their portion of the request.
Note: Notifications use default system messages. Custom notification copy is not required or configured on the step.
How to Set Progress Notification Recipients
Recipients are configured on the individual Sign or collaboration step while building your workflow.
Open the Sign or collaboration step
Open the workflow you're building and select the Sign or collaboration step you want to configure. On the step's Details tab, scroll to the Set progress notification recipients section.
Add recipients
In the Recipients field, add the people who should receive progress notifications. You can add:
- Dynamic data fields — for example, a Contact Owner Email field, so the notification goes to the right person based on the record's data.

Static email addresses — for example,
renewals@jacobs.com, for a fixed inbox or distribution list. - A combination of both — mix dynamic fields and static addresses in the same list.
Tip: Use a dynamic data field when the right recipient changes from record to record, and a static address for a team inbox that should always be notified.
Save the step
Save your step configuration. When the assignment runs, the recipients you added will automatically receive the default notifications for each status change.
Feature Considerations
- Default messaging only. Notifications use default system messages; custom notification copy is not supported.
- Recipient resolution. If a dynamic data field resolves to a blank email address at runtime, that recipient is simply ignored. The assignment continues to run and notifications are still sent to any other valid recipients.
- Optional configuration. A Sign or collaboration step with no notification recipients configured runs normally and sends no progress notifications.
Troubleshooting
A recipient isn't receiving notifications.
- Confirm the recipient was added in the Set progress notification recipients field on the correct step.
- If you used a dynamic data field, confirm the field resolves to a valid email address on the record being processed.
- Check that the notification email hasn't been filtered into spam or a junk folder.
I don't see the option to set progress notification recipients.
- Confirm you're editing a Sign or collaboration step, since the Set progress notification recipients section appears only on those step types. If you still don't see it, contact Support.
