Basic Assignments is the first step toward enabling form assignments in your Streamline project. It allows you to assign workflow steps (like forms) to different users, helping you direct the flow of work more efficiently. This is a simplified version of the feature—more functionality will be released in future updates.
Who Has Access?
This feature is available to all Streamline users.
Feature Capabilities
With Basic Assignments, you can:
- Assign forms by entering an email address or phone number.
- Send assignment messages via email or SMS.
- Add multiple recipients using the “+” button.
- Ensure only the first recipient to complete the form has their responses saved.
- Others will see a "Workflow Complete" message if the form has already been submitted.
- Assign forms using a field from the workflow.
- Automatically assign subsequent Sign steps to the same recipient, unless otherwise specified.
- Customize email or SMS messages.
- Assign to any email or phone number, not limited to existing Streamline users.
Note: While you can assign to any contact, recipients currently need to log in as a Streamline user to complete the session. Public workflows (which won’t require login) are coming soon.
How to Use Basic Assignments
Follow these steps to assign a form within your Streamline project:
Open your workflow in Streamline. Navigate to the form step you want to assign.
In the form settings, look for the “Assign” section at centre. Choose email or Mobile Number as the primary method of contact. Next, you'll want to decide on which of the following methods to assign the form:
- Manual entry: Type in one or more email addresses or phone numbers.
- Dynamic field assignment: Use a field from the workflow (e.g., form response) to automatically assign based on input.
To add multiple recipients:
- Click the “+” button to include additional emails or phone numbers.
- Customize your assignment message if needed (available for both email and SMS).
Click Next to continue to the Delivery section where you'll fill out who the assignment is coming from.
Click Create assignment to finish.
Important: While you can assign the form to any contact, recipients will need to log in with any Streamline user account to complete the step.
Once assigned, the form will be sent out, and the first person to complete it will lock in the response. Others will see a message that the workflow step is already complete.
Assignment Behavior and Workflow Logic
Assignments affect the flow of the entire workflow. Once set, all following steps will follow that assignment.
Sign steps can have their own assignments. If a Sign step is assigned, it will override any prior assignment from earlier steps.
Feature Limitations
- Assignments currently apply only to forms
- You cannot assign specifically to a Streamline User yet—only via email/phone input.
- Users must log in to view a session.
- The assigned email/phone does not have to match the login, as long as a Streamline user completes it.
- Group assignments are not supported—only the first recipient to complete the form will proceed the workflow.
Custom fields from data mapping cannot be added to the assignment message.
