Omni Guided Activation helps new Intellistack Streamline users get from their first login to their first real outcome. When an admin invites a user, they can assign setup tasks that appear as a guided checklist in Omni on first login. Whether or not tasks are assigned, Omni offers role-specific suggestions on each page and walks users through setup conversationally, so new team members can get productive without searching documentation or waiting on a call.
Who Has Access?
Guided Activation is available to new Streamline users across all four standard roles. Omni tailors its guidance to the user's role and to the page they are on, so each person sees only suggestions relevant to what they can do.

On most pages, every role sees the same set of suggestions. On the Projects and Workspace pages, suggestions differ by role: Admins and Managers see options for creating and overseeing projects, while Operators see options focused on running and reviewing their own sessions.
Key Capabilities
- Onboarding task checklist - Setup tasks assigned at invite appear as a checklist in Omni on the user's first login, with status tracking for each task.
- Contextual guidance - Omni surfaces role-specific suggestions for the page a user is on instead of showing a blank chat box.
- Conversational walkthroughs - Picking a task or suggestion launches a guided, conversational walkthrough rather than linking out to documentation.
- Progress that persists - Omni remembers each user's progress so unfinished tasks can be resumed on the next login.
- Re-engagement reminders - Streamline sends one-time reminder emails to bring stalled users back to their setup.
Assign setup tasks when inviting a user
Setup tasks are assigned during the Add User flow. For the full process of adding and inviting users, see How to Add Users to Streamline.
In step 2 of that flow, Personalize invitation, find Choose their onboarding tasks and select the tasks to assign, such as Manage users, Connect data sources, Add integrations, Monitor sessions, Enable SSO, Create workflows, or Manage branding. Click Send invite to finish.
The selected tasks become the user's checklist in Omni when they first log in.
Tip: If you do not assign any tasks, the user is not left without direction. Omni still presents role-specific suggestions on each page when they log in.
Complete your setup tasks in Omni
When you log in for the first time and tasks have been assigned to you, Omni opens with your setup checklist.
- Omni opens automatically on first login and displays your assigned tasks.
- Select any task to begin. Omni walks you through it conversationally, explaining the options and prompting for what it needs to continue.
- Watch each task's status update as you make progress:
- New - the task has not been started.
- In progress - you have started the task but have not finished it.
- Complete - the task is done. It stays in the list as a record but can no longer be selected.
Tip: If you would rather explore on your own, select Abandon tasks. Unfinished tasks are cleared from your list, completed tasks remain, and Omni stops following up about the checklist.
Get suggestions on any page
You do not need an assigned checklist to get help. When you open Omni without an active conversation, or move to a new area of the product, Omni presents role-specific suggestions for that area.
Examples of what Omni suggests by area:
- Home - getting-started suggestions
- Integrations - connect a data source, add an event integration
- Security - review security controls, set up SSO, review MFA settings
- Users - add users, create groups, review two-factor settings
- Datasets - create a dataset, manage fields, review dataset usage
- Workflow Builder - build a new workflow or improve an existing one, including help configuring an individual step
- Projects - create and oversee projects, review performance, or pick up recent work
- Workspace - monitor session health and assignment distribution, or start a Quick send or project session
Select any suggestion to start a guided walkthrough of that task.
Pick up where you left off
Setup rarely happens in one sitting. Omni remembers your progress. On your next login, your task list reappears with every task in its current state, so you can resume an unfinished task where you left it instead of starting over.
Re-engagement reminder emails
If a user stalls during onboarding, Streamline sends reminder emails to bring them back. Each type of email is sent only once per user.

| Get started | The user has no assigned setup tasks and no welcome message. This email is sent in place of the incomplete-tasks email and points the user to log in and let Omni guide them. It is only sent when the user's role has suggested tasks to offer. |
Troubleshooting
Omni may occasionally make mistakes
Omni is in its early stages and is continually being refined. It may not be accurate every time and can make mistakes in its guidance or product knowledge. Treat its responses as helpful direction rather than authoritative answers, and verify important steps against product documentation.
A user did not receive a reminder or invitation email
Re-engagement and reminder emails depend on standard email delivery and can be delayed or filtered by the recipient's email provider. If a user reports not receiving an email:
- Have them check their spam or junk folder.
- Confirm the email address on the account is correct.
- Have them add the sender to their safe-senders list or allowlist.
- If corporate email security or firewall rules are blocking messages, the recipient's IT team may need to allowlist Intellistack's sending domain.
