Add a Signature field to an Intellistack Streamline data capture step when a participant needs to type or draw a signature as part of a form. Streamline saves the captured signature as an image that you can reference later in the workflow.
Signature capture is different from the Sign step in Streamline workflows. Review Feature considerations before deciding which option fits your workflow.
Key capabilities
- Type or draw - Let participants choose between typed and drawn signature entry.
- Draw only - Require participants to use the drawing area.
- Required or optional - Apply the standard required-field setting.
- Image output - Use the captured signature as an image in a later supported destination.
- Signature metadata - Reference the image's file name and file extension when needed.
- Multiple participants - Display a signature from an earlier form while collecting a different participant's signature in a later form.
Add a Signature field
- Open the workflow and edit the data capture step that should collect the signature.
- Select Add field.
- Under Advanced, select Signature.
- Enter the field label.
- Optional: enable Data mapping label and enter the label that should identify this field in the workflow's data panel.
- Enable Required if the form must not be submitted without a signature.
- Open the field settings.
- Under Sign format, choose:
- Type or draw to let participants select either method.
- Draw only to remove typed signature entry.
- Preview and test the form before publishing the workflow.
Note: A required Signature field blocks submission until the participant provides a signature.
Complete a Signature field
Type a signature
When the field uses Type or draw:
- Select Type.
- Enter the signature in the signature area.
- Review the rendered signature.
- To replace it, select Clear and enter it again.
Draw a signature
- Select Draw when the field offers both methods. A Draw only field opens as a drawing area without the Type option.
- Draw in the signature area with the available touch or pointer input.
- To replace the signature, select Clear and draw it again.
Use a captured signature later in the workflow
A submitted Signature field provides three values in the workflow data panel:
- Signature (File) - The captured signature image.
- Signature (File name) - The image file name.
- Signature (File extension) - The image file extension.
Use Signature (File) when the destination needs to display the signature image. The file name and extension values are metadata and do not contain the image.
Prefill a Signature field with an earlier signature
You can map an earlier Signature field's File value into a Signature field to prefill it. The field's read-only setting controls what the participant can do:
- Read only - The participant sees the earlier signature and cannot change it.
- Not read only - The participant can select Clear and type or draw a new signature.
- Add a Signature field to the form.
- In the Data panel, find the earlier step and map its Signature (File) value into the field.
- To display the earlier signature without allowing changes, turn on the field's read-only control (the lock icon), as you would for any form field. The control is on the right side of the field's settings.
- To let the participant replace it, leave the field editable.
- Preview the form with representative workflow data.
When a prefilled Signature field is read only, participants see the earlier signature as an image below the field label.
Add a signature image to a generated document
- Open the document that should include the signature.
- In the Data panel, expand the data capture step that contains the Signature field.
- Select the field's File value, not File name or File extension.
- Place the image value where the signature should appear in the document.
- Generate a test document and confirm the image displays at the intended size and location.
Feature considerations
- Signature capture is not a Sign step - The feature captures a user-provided signature image inside a form. It does not provide the signing process available through the Sign step.
- No Sign controls - Signature capture does not include the identity verification, signature authentication, audit trail, integrity, or other electronic-signature controls available through the Sign step.
- Image-compatible destinations - The destination must support image or file mapping. Support in every field type and workflow step is not established.
- Draw-only behavior - Draw only removes typed signature entry.
Compliance
Signature captures a user-provided signature image for inclusion in the workflow. This feature does not include the identity verification, signature authentication, audit trail, or other electronic-signature controls available through the Sign step. If your process has legal, regulatory, or business requirements for signatures, evaluate whether this feature meets them.
Troubleshooting
The participant cannot submit the form
Confirm that every required Signature field contains a signature. If the participant selected Clear, they must enter the signature again before submitting.
The Type option is missing
The field is configured as Draw only. Change Sign format to Type or draw if participants should be able to type a signature.
The destination displays a file name instead of the signature
Map Signature (File) into the image-compatible destination. Signature (File name) and Signature (File extension) provide metadata only.
The participant cannot change a prefilled signature
The field is set to read only. Turn off read only to let the participant select Clear and enter a new signature.
A later form shows the prior signature but has no empty signature area
The Signature field is mapped to the earlier Signature (File) value. Either turn off read only so the participant can clear and re-enter it, or add a separate, unmapped Signature field for the current participant.
